Writing Your Legislator
  • The letter is the most effective and the most common form of communication with Members of Congress. Writing letters help to create a paper trail. Most letters are noted and answered. The amount of mail received by a legislator ("mail count") sometimes helps to determine the representative's approach to an issue. A constituent's letter might be answered in a form letter, particularly if it is about an issue which has received a lot of publicity.
  • Be clear and concise. The purpose for writing the letter should be stated in the first paragraph. If your letter pertains to a specific piece of legislation, identify it accordingly, e.g., House bill: H. R. ____, Senate bill: S.____.
  • Be specific, ask for action. Tell your legislator exactly what action you want them to take and give your reasons for your position. Don't hesitate to cite your own experiences and personal feelings. Also be courteous, to the point, and include key information, using examples to support your position. If you are an expert in a particular field (i.e. a doctor) making mention of that can help to build credibility.
  • Include supplemental information. Within the letter you can include related editorials, letters to the editor, and other research materials relating to your topic.
  • One at a time. Address only one issue in each letter, and, if possible, keep the letter to one page. Also, thank your legislator in advance for the consideration s/he will give to the issue.

Write Back! Follow-up letters can have an enormous impact on members of congress and their aides. Thank the legislator for his/her time and taking a correct stand (if applicable). Also, take this opportunity to ask questions about concerns that may have been unclear.
